Report to: Event Coordination Managers
Position Overview:
Coordinate logistical and operational elements of assigned meetings, shows and special events while providing high quality service and client relations in order to ensure successful events.
Responsibilities Include:
1. Conduct and coordinate meetings, appointments and site inspections with clients and/or service providers for assigned accounts.
2. Gather event related requirements (i.e., floor/rigging plans, insurance, security and first aid schedules, emergency response plan, food and beverage requirements, and event information, etc.) for each assigned account in a timely manner. Accurately detail each event and communicate these requirements via Event order (EO) and Event Resume (ER) to facility staff and in-house service providers.
3. Research, coordinate, track and analyze all aspects of the Food & Beverage operations.
4. Menu planning, customization and consultations with clients.
5. Maintain a standard of service on all levels for each Event that is satisfactory to the client while maintaining the International Centre’s policies and procedures.
6. Provide continuous on-site support, coordination and contact with clients, facility staff, and service providers to ensure all events run smoothly.
7. Program Airport Road electronic signage and LCD signage for assigned accounts, and provide back-up support for hall entrance signs when required.
8. Prepare correspondence, agendas and meeting minutes for assigned accounts.
9. Provide on-site updates, post event reports and recommendations for each assigned account to the Event Logistics Managers.
10. Maintain event files in a tidy, well organized manner at all times.
11. Attend meetings associated with the Event Logistics Department along with weekly Operations Meetings.
12. Propose new ideas to improve the event planning and implementation process for the Event Coordination Department.
13. Maintain assigned accounts and contact information in Event Business Management Software (EBMS).
14. Coordinate and chair pre-show and post show meetings as required with clients.
15. Adhere to and promote health and safety regulations.
16. Occasional evening and weekend duty required.
Qualifications:
1. Excellent planning, organizational and time management skills.
2. Well developed verbal and written communication skills, including proof reading skills.
3. Proven ability to manage multiple projects, work assignments and meet deadlines in a fast paced environment.
4. Ability to work well both independently and as a contributing member of a team.
5. Must have a positive attitude, excellent customer service ethic and high expectations for quality.
6. Minimum two years experience in coordinating events
7. Menu planning and consultation skills
8. Knowledge of food and beverage cost controls is an asset.
9. Professional business attire required.
10. Excellent Microsoft Office skills. Exceptional typing speed and thorough knowledge of Microsoft Word and Excel. Experience with EBMS or Delphi is an asset.
